Casa Brera, a Luxury Collection Hotel belonging to Marriott International, is currently recruiting a Events Coordinator.

Reporting to Events Manager, the role is responsible for booking, coordinating, and organizing all social events, smaller groups and meetings on property. 

This is full-time position, 5 days a week with 2 days off.

The impact you’ll make 

What more could our guests want than outstanding service, a clean comfortable room and delicious food and drink? It will be your job to make sure they get even more from their stay with us. Reactively promotes all the options open to them, as well as being on hand to answer any questions about our hotels and services, you’ll make sure they know about everything they could wish for – and more. You’ll help create the warmest welcomes and most memorable events that keep them coming back again and again. 

 What you’ll do 

  • Liaisons with a variety of departments such as and not limited to rooms, kitchen, banquet operations, restaurants and bars to maintain highest service and B&F standards while maximizing profits through outstanding customer service. 
  • Reactively receives, handles and coordinates all event and group inquiries as well as provides general support to the sales office where needed. Needs to work on flexible work schedule as required and when hosting events on property.
  • Process all booking requests, changes, and cancellations received. 
  • Identify group guest needs, determine appropriate room type, and verify availability of room type and rate. 
  • Explain guarantee, special rate, and cancellation policies to callers. 
  • Accommodate and document special requests. 
  • Answer questions about property facilities/services and room accommodations. 
  • Follow sales techniques to maximize revenue. 
  • Communicate information regarding designated VIP reservations. 
  • Input and access data in reservation system. 
  • Respond to any challenges found for accommodating rooming requests by communicating with appropriate individual or department. 
  • Oversee accuracy of room blocks and reservations. 
  • Input group rooming lists using reservation systems, revise room blocks to maintain the required number of available rooms, and keep organized files of all groups. 
  • Set-up proper billing accounts according to accounting policies.
  • Plan and deliver events together with the client while building strong relationships and encouraging repeat business.
  • Follow company and department policies and procedures.
  • Oversee accuracy of room blocks and reservations.
  • Respond to any challenges found for accommodating rooming requests by communicating with guest or group contact, Sales Department, or Front Desk.
  • Input group rooming lists using reservation systems (e.g., OPERA, MARSHA).
  • Keep organized files of all groups and events for easy and accurate reference.
  • Revise room blocks in the reservation system (e.g., OPERA, MARSHA) to maintain the required number of available rooms after rooming lists are entered.
  • Execute event operationally
  • Set-up proper billing accounts (i.e., share-with, room/tax/incidentals, tax exempt, direct/special billing, group bookings) according to accounting policies.

  • At least 1 year work experience in events 
  • Fluent English and Italian is mandatory
