This position is part of the Sales & Events team who are responsible for reactive group sales attached or not to events and conferences. By application of strong organisational, communication and interpersonal skills this position is responsible for preparing all event documentation and coordinating with hotel departments and the customers to ensure consistent, high level service throughout pre-, during and post-event phases of all events, administration of contracts and inputting group bookings/rooming lists into Opera booking system.
The Events Executive must have impeccable attention to detail and exceptional organisational skills to be able to competently deliver all aspects of the role to the expected standard. The ability to multi task, prioritise and use your initiative are key skills required for this role. This role will have direct client interaction and also admin work.
Previous experience within Hotel Industry preferred – Experience in Conference & Events, Opera booking system, Sales Force and specifically in dealing with groups/catering and delegations are highly desirable.

Education or Certification:
- A strong level of English, both written and verbal is essential for this role.
- High school diploma or GED; experienced (1 - 2 years of experience) in the Reservations/ Event Booking Center or related professional area.

- To have responsibility of the GRC (Groups) diary to support revenue maximization.
- To ensure that OPERA and MARSHA balance.
- To make a pre and post event call to organizers in order to maintain the relationship and to gain future business.
- Effectively manages customer budgets to maximize revenue and meet customer needs to expand customer base for group/catering sales opportunities.
- To liaise with the Revenue team to ensure that rooms strategy is implemented appropriately.
- Building client and colleague relationships.
- To understand the product we offer, including event space, room types/layouts, capacities, and event/restaurant menus.
- To conduct site visits, including walk-in appointments and participate in FAM Trips in a professional manner, demonstrating a full knowledge of the hotel products and services, and tailoring the benefits to meet the guests’ needs.
- To ensure that all diary entries are up to date with booking status, date booking taken, client details and telephone contact details and activities up to date.
- To produce a detailed and accurate handover sheet for each group/event arriving with full details on payment, room allocations, and individual requirements.
- To effectively communicate, in a timely manner, any amendments or alterations to a group/event ensuring that the clients’ needs are always met.
- To ensure company policy on credit checking and payment procedures is adhered to.
- Ensures billing accuracy and conducts bill reviews with the clients prior to processing the final bill.
- To maintain an efficient and organised filing policy on all enquiries, options and confirmed bookings.
- To contribute, as part of the team, to the smooth running of the Sales and Events Office by following all of the above organisational responsibilities.
- To proactively promote Marriott Rewards, internal promotions and Special Events.
- To hand over any non-social group enquiries to the LSO, providing as much information as possible.
- To process all group bookings through Opera, and MARSHA, including setting up blocks, naming groups, cancelling where appropriate and changing room rates.
- Inserting rooms in block grid.
- Ensure all postings on group & events accounts are correct and to send out the invoice on the day of departure.
- Pull any relevant reports as necessary
- Respond to any incoming leads within 24 hours of arrival / social
