Event Sales Agent (temporary)

At the St. Regis Rome, we are looking for an Event Sales Agent (temporary), to join our Event team.

POSITION SUMMARY

The Groups and Event Sales Agent plays a vital role in supporting the Groups and Events Sales team by performing a variety of administrative and coordination tasks. This includes managing documentation throughout the sales process (e.g., proposals, contracts, banquet event orders), handling rooming lists and assignments, and assisting the Operations team with the successful planning and execution of group events.

The ideal candidate will possess excellent communication and interpersonal skills, ensuring effective coordination with internal departments and external stakeholders. A collaborative mindset, attention to detail, and adaptability are essential for success in this role. The Coordinator also serves as a brand ambassador, promoting the Marriott image both internally and externally while applying strategic sales techniques to optimize revenue and foster guest loyalty.

Key Responsibilities

Sales & Event Coordination

  • Manage the group and event sales process from initial inquiry to contract execution and deposit collection.
  • Qualify and process incoming Requests for Proposal (RFPs) received via various group sales platforms (e.g., OneSource, MI Leads, Cvent, HPN), ensuring timely and accurate updates per company standards.
  • Monitor room and meeting space availability, manage group blocks, and oversee timely client follow-ups.
  • Prepare and execute contracts, including necessary legal documents, addendums, commission agreements, and credit approval forms.
  • Coordinate site inspections and liaise with clients to ensure a seamless event planning experience.
  • Manage invoicing and deposit schedules, including the preparation of pro forma and electronic invoices.
  • Apply effective negotiation and upselling techniques to drive revenue while preserving brand loyalty.

Data & Systems Management

  • Accurately input and maintain all group and event data in systems such as Opera Sales & Catering (S&C), OneSource, and Marsha.
  • Create rate programs, rate codes, and market codes in system configurations as needed.
  • Generate reports upon request and ensure all databases are kept up-to-date, accurate, and efficiently organized.

Revenue Management Support

  • In collaboration with the Revenue Manager, evaluate group and event opportunities using Marriott’s internal systems.
  • Ensure appropriate pricing strategies are applied to RFPs in accordance with current revenue management directives.
  • Support upselling efforts during the planning and coordination process.

Policy Adherence & Professional Standards

  • Maintain confidentiality of proprietary company and guest information.
  • Adhere to all corporate policies and procedures, including those related to grooming, appearance, and security.
  • Execute other responsibilities as assigned by supervisors in a timely and professional manner.

Guest Relations

  • Anticipate and promptly address guest needs with professionalism and courtesy.
  • Actively listen and respond to guest concerns and requests, utilizing brand standards to enhance guest satisfaction.
  • Provide a warm welcome and fond farewell to all guests, demonstrating appreciation and hospitality.

Communication & Collaboration

  • Communicate effectively with guests, colleagues, and stakeholders using clear, professional Italian and English languages.
  • Answer telephones with appropriate etiquette, ensuring calls are handled efficiently and courteously.
  • Prepare and review business correspondence and reports with accuracy and professionalism.
  • Foster a cooperative work environment, promoting teamwork and mutual respect across departments.

PREFERRED QUALIFICATIONS 

Education: High school diploma or G.E.D. equivalent.

Related Work Experience: At least 1 year of related work experience.

Supervisory Experience: No supervisory experience.

License or Certification: None 

Proficiency Italian and English.
