W Sydney located at 31 Wheat Road is hiring an Accounts & Groups Coordinator. Reporting to the Director of Sales & Distribution and Assistant Director of Sales, this integral role will assist the Sales and Groups team in coordination of all aspects of the day-to-day departmental activities. You will provide a high level of support to the Sales team and Groups division and wider hotel, working closely with the Sales team to provide support across all market segments. Additional responsibilities include, but are not limited to; 

  • Represent the brand in all sales activities in line with W Hotels and Marriott International’s core values and corporate strategies;
  • Perform general office duties to support the Sales and Groups department (including but not limited to answering office phone calls, filing, proposals, contracts, invoices, expense reports and sending emails);
  • Prepare proposals, contracts, invoices and addendums as required, in addition to providing comprehensive assistance during corporate RFP season;
  • Execute all promotions targeting the hotel’s various market segments;
  • Assist sales team members with Insider Tours, Presentations and Familiarisation visits where required;
  • Use sales techniques that maximise revenue while monitoring loyalty to Marriott International;
  • Answer client and guest queries about property facilities, venues, and services;
  • Assist Groups Manager with rooming list entry and consolidation of group client requirements. As well as assisting with processing group reservation requests, changes, and cancellation;
  • Prepare accurate internal administration and accounting paperwork including but not limited to purchase orders and gift voucher requests;
  • Prepare morning briefing folder, including daily sites, famils, entertainment and VIP arrivals and communicate as required to operational departments;
  • Be fully versed across Marriott Bonvoy program to maximise business opportunities and client/guest loyalty for W Sydney;
  • Conduct and keep updated on external industry market news to ensure W Sydney remains at the forefront of the Sydney hotel market;
  • Analyse the activities of competitor hotels, including their customer base, with the aim of developing and securing new business and providing a market advantage;
  • Ensure recovery calls/responses are dealt with in an appropriate manner and in accordance with brand teachings;
  • Deliver enthusiastic, positive, helpful, and respectful communication both internally and externally, ensuring precise and effective information transfer;
  • Be an early adopter and champion for innovation, as the W brand has been since inception, to deliver and exceed budgeted revenues for the hotel, channel engagement and enhanced guest experience.
