Engineering Administrator

POSITION SUMMARY

Coordinate with other departments using telecommunications devices in order to respond to requests and resolve maintenance issues and to put rooms needing maintenance out of order. Coordinate and schedule with other departments in the event of major system shut down or major repair or improvement. Maintain purchase orders log and file purchase orders upon payment, ensuring that orders match packing slips.

  • Overall supervision and administration of the Engineering office
  • Coordinate and Respond to work requests
  • Direct and dispatch work assignments to Engineers.
  • Maintain work order requests in Transcendent system
  • Regularly supervise recording and adherence to statutory compliance and sustainability.
  • Adhere to all Marriott International and property policies and procedures
  • Maintain all records and files of mandatory systems, such as preventative maintenance, company SOPs, work requests, departmental training etc.
  • In charge of preparing the duty roster.
  • In charge of tracking holidays, absences and overtime requests for the department
  • Prepare labour variance reports and ensure timesheets are turned in correctly to payroll
  • To ensure that maintenance schedules are updated and checklists are produced for maintenance engineers and contractors at the end of each day.
  • Liaise with contractors on Planned Maintenance due dates and inform Maintenance Manager. Log in and register all contractors and escort to the appropriate contact ensuring to inform colleagues at daily meeting. 
  • Maintain up to date store control database for Engineering Inventory, movement and secure storage of spares and equipment.
  • Receive all delivered items into the Engineering stores, stack properly with assistance from engineering staff and update the computer.
  • Liaise with vendors for supplies.
  • Process invoices for payment of vendors.
  • Ensure maintenance request are recorded into data base 
  • Delegate urgent work requests to associates in liaison with Maintenance Manager.
  • Attend all maintenance related meetings in the absence of Maintenance Manager.
  • Prepare monthly HLP reports & any general filling and typing related to maintenance.

OTHER

  • Performs other related tasks as assigned by management.
  • Complies with Marriott International Hotels Limited, Regional Office and local policies and procedures.
  • Working hours as required to do your job but normally not less than 37.5 hours per week.

PREFERRED QUALIFICATIONS 

Education: High school diploma or G.E.D. equivalent.

Related Work Experience: At least 2 years of related work experience.

Supervisory Experience: No supervisory experience. 

License or Certification: None
