Finance Executive (Accounts Payable)

POSITION SUMMARY

 

To ensure accurate, timely, and compliant processing of supplier invoices and payments, maintain strong vendor relationships, support effective cash flow management, and contribute to accurate financial reporting through robust controls and reconciliations.

 

Key Responsibilities

1. Invoice Processing & Vendor Management
• Verify and process daily invoice batches in compliance with company policies and statutory requirements.
• Upload approved batches from BSS to PSAP and ensure successful processing.
• Attach MIH images, clear pending transactions, and maintain AP data integrity.
• Create and maintain accurate vendor master records.
• Monitor AP aging, ensuring payments are made within agreed terms and disputes are resolved promptly.
• Respond to vendor inquiries in a timely manner and maintain positive supplier relationships.

2. Payments & Compliance
• Process weekly EFT runs, manual payments, and cheques, ensuring accurate posting in PSAP.
• Coordinate offshore payments, including TT documentation and bank follow-up.
• Ensure compliance with WHT, VRC, and all statutory requirements.
• Maintain payment records in accordance with document retention policies.
 

3. Reconciliations & Reporting
• Perform vendor, bank, intercompany, statutory, and utility reconciliations, resolving discrepancies promptly.
• Ensure all liabilities are accurately recorded in the AP ledger.
• Prepare accruals, recycle vouchers, and month-end AP reports and commentary.
• Post and reconcile monthly FX gains and losses.
• Complete all weekly and month-end checklist activities accurately and on time.
 

4. Other Duties
• Undertake ad hoc Accounts Payable and Finance tasks as assigned.
 

5. Key Performance Indicators
• 100% accurate invoice and payment processing.
• Payments made within agreed supplier terms.
• Timely completion of reconciliations and month-end activities.
• Full compliance with statutory and internal control requirements.
• Prompt resolution of vendor queries and payment issues.
• Accurate and complete AP ledger and reporting.

Qualifications: 

  • Bachelor's degree in accounting, Finance, or a related field.
  • Minimum of 2-5 years of experience in Finance or Accounts Payable, or Regulatory roles, preferably within the hospitality industry.
  •  In-depth understanding of regulatory requirements and standards within the hotel industry.
  • Excellent attention to detail and organizational skills. 
  • Good communication and interpersonal skills. 
  • Ability to work independently and as part of a team.
