The Accounts Receivable Executive is tasked with ensuring accurate records of all income and receipts for the hotel. Responsibilities include the prompt processing of invoices, allocation of payments, and handling of refunds/chargebacks. The Accounts Receivable Executive will also coordinate with the hotel’s accounting team to reconcile daily transactions against the bank statement also generate monthly AR reports for submission.
POSITION SUMMARY
- Following up on overdue accounts.
- Reviewing accounts receivable aging reports and providing timely updates on accounts.
- Completing credit checks on all new customers seeking an account with the Hotel.
- Generating and sending invoices/Statements to customers in a timely manner.
- Reconciling customer accounts and resolving any billing discrepancies or disputes.
- Processing incoming payments via checks, electronic transfers, or credit card payments.
- Ensuring transfers from guest ledger to AR ledger are accurate and done in a timely manner.
- Performing timely mailing of statements to guests with recent activity in the hotel Attaching appropriate back-up.
- Attaching copies of folios, food and beverage guest checks, and miscellaneous vouchers where necessary.
- Finalizing customer invoices along with signed supporting documentation.
- Assist sales in establishing customer credit through hotel policies and procedures, including but not limited to the application process, reference checks, credit limits, direct bill listing, deposit requirements, and other credit-related activities.
- Attend and contribute to regular meetings (pre-convention, credit, etc.) to maintain positive working relationships among stakeholders and improve morale, productivity, and efficiency.
- Coordinate monthly and weekly meetings with respective department; for example, month-end aging reports, weekly PM & Open Folio meetings.
- Monitor the guest ledger, advance deposit ledger, and any other related subsidiary ledgers to ensure proper internal control.
- Implement credit training in the operating department to include proper credit card, cash, and check acceptance, limits, and direct bill listing approval.
- Increase productivity, identify problem areas, and assist in the discovery and implementation of solutions.

QUALIFICATION AND EXPERIENCE:
- Diploma or Degree in Accounting, Finance, Business, or a related field (preferred).
- Previous experience in General Cashiering, Cash Handling, or Hotel Finance is an advantage.
- Strong numerical accuracy and attention to detail.
- Working knowledge of cash handling procedures, internal controls, and basic accounting principles.
- Proficiency in MS Office and experience with accounting or POS systems.
- Strong organizational and time‑management skills with the ability to meet deadlines.
- High level of integrity, professionalism, and confidentiality.
- Effective verbal and written communication skills.
- Must have legal working rights in Fiji.
