Job Summary

The Purchasing Manager leads end-to-end procurement for the property, ensuring the timely, cost-effective, and ethical acquisition of goods and services (with emphasis on Food & Beverage, OS&E, and CapEx). The role drives value through category strategies, supplier relationship management, and data-driven decision making while upholding brand standards, food safety, sustainability, and regulatory compliance.

 Category Strategy & Strategic Sourcing

  • Develop and execute category strategies (F&B, housekeeping, engineering, spa, services, and CapEx) to optimize total cost of ownership (TCO), quality, and service levels.
  • Support/Lead sourcing events (RFQ), supplier evaluations, and negotiations; secure best-value agreements aligned to budget and brand standards.
  • Partner with Culinary and F&B leadership to forecast demand and translate menu plans, seasonality, and promotions into sourcing actions.
  • Support cluster/regional sourcing opportunities and leverage volume across properties where applicable.

 Supplier & Contract Management

  • Build and maintain a resilient, diverse, and compliant supplier base; conduct onboarding, due diligence, and performance reviews.
  • Manage contract lifecycle (creation, approval, renewals, compliance) and maintain a central contract repository.
  • Champion responsible sourcing (As per Marriott Guidelines).

 Procurement Operations & Systems

  • Own day-to-day purchasing operations, requisitions, POs, and three-way match with Receiving and Finance.
  • Operate Birch Street System (e.g., purchasing, invoice matching, catalog/Order Sheet management); maintain item master data and pricing.
  • Ensure proper inventory rotation (FIFO), par levels, and stock accuracy; minimize stockouts and obsolescence.
  • Coordinate delivery schedules with suppliers and operations to support production and service requirements.

Cost Control, Inventory & Analytics

  • Monitor COGS and controllable spend; implement cost-improvement initiatives without compromising guest experience.
  • Support month-end processes related to purchasing and inventory (counts, variances, reconciliations) in partnership with Finance.
  • Conduct should-cost/benchmark analyses and support annual budgeting and forecasting.

 Risk, Compliance & Sustainability

  • Ensure compliance with company policies, internal controls, and applicable laws and regulations (anti-bribery/anti-corruption, competition, tax, customs/import).
  • Uphold food safety and hygiene standards (e.g., HACCP) in storage and receiving areas; maintain vendor documentation (licenses, insurances, MSDS/SDS).
  • Mitigate supply risks (quality, availability, geopolitical, climate) with dual sourcing, safety stock, and contingency plans.

 Stakeholder Partnership

  • Collaborate closely with Culinary, F&B, Engineering, Housekeeping, Spa, and Front Office to translate operational needs into purchasing plans.
  • Communicate price/availability changes and market insights to operations leaders; provide timely alternatives or substitutions.
  • Partner with Accounts Payable on invoice accuracy and payment terms; resolve discrepancies quickly to maintain supply continuity.
  • Contribute to audits and support pre-opening/renovation projects as needed.

 People Leadership & Development

  • Lead, coach, and develop purchasing and receiving team members; set clear objectives and conduct regular performance check-ins.
  • Provide training on systems, policies, food safety in receiving/storage, and category knowledge.
  • Foster a culture of integrity, accountability, and service to internal stakeholders.

Qualifications & Experience 

  • Bachelor's degree in Supply Chain, Business, Finance/Accounting.
  • Professional certifications preferred (e.g., CIPS, CPSM) and/or HACCP training for receiving/storage.
  • 5plus years of progressive purchasing/procurement experience; hospitality/F&B multi-outlet experience strongly preferred.
  • Demonstrated sourcing, negotiation, and contract management success; experience with CapEx procurement is a plus.
  • Hands-on experience with e-Procurement/ERP and inventory systems; proficient in Excel and data analysis.

Working Conditions

This role is on-property and requires regular presence in receiving and storage areas, including cold stores. May require early mornings, weekends, or holidays to support operations and deliveries as business needs dictate.
