We are seeking a highly organized, energetic, and detail oriented Sales Coordinator to support the Sales & Marketing team for two Marriott hotels in Doral, Florida. This role is responsible for coordinating group business, corporate accounts, meetings & events, lead management, administrative support, and daily sales operations for both hotels.
 
The ideal candidate must thrive in a fast paced hospitality environment, possess excellent communication and organizational skills, and have the ability to multitask while maintaining exceptional customer service standards.
 
Key Responsibilities
 
Daily Sales Operations
 
Review daily Function Sheet and event schedule.
Conduct event/day-of-arrival follow-up and coordination.
Update Sales Boards and group communication channels daily.
Monitor hotel availability and communicate updates to the sales team.
Follow up on pending sales items from both hotels’ end-of-shift reports.
Review previous night group arrivals and resolve pending issues.
Ensure all group billing and reservations are balanced and accurate.
Monitor sales voicemail and respond promptly.
Coordinate site inspections and ensure model rooms are inspection-ready with Housekeeping.
Review daily arrival lists for both hotels and identify potential sales leads.
Monitor VIPs, local guests, government travelers, and group arrivals.
Update guest arrival workbooks and send pre-arrival emails.
 
Lead Management & Sales Support
 
Handle incoming sales inquiries via phone, email, walk-ins, and online channels.
Manage SFAWEB and Cvent lead platforms multiple times daily.
Enter and track all inquiries in STS.
Create new accounts in STS as needed.
Distribute leads to the appropriate Sales Managers.
Prepare and send proposals within 2–4 hours of receiving inquiries.
Assist with prospecting opportunities and follow-up communications.
 
Meetings & Events Coordination
 
Ensure meeting room setups are prepared and accurate for upcoming events.
Verify event signage, internet details, and AV equipment readiness.
Coordinate with Operations and Housekeeping to maintain meeting spaces.
Participate in weekly BEO meetings and distribute finalized event information.
Prepare event packages and communicate details to all hotel departments.
Update BEO binders with banquet checks, receipts, and required documentation.
Ensure all events meet deposit and payment requirements.
Maintain detailed and accurate Function Sheets and Group Resumes through STS.
 
Corporate Account Support
 
Respond to all corporate account emails within 2 hours.
Coordinate VIP amenities and special requests.
Manage corporate account setup and rate plan requests.
Create corporate booking links and maintain account profiles.
Process credit card authorization forms and update reservations accordingly.
Verify rate plan accuracy between STS and Lightspeed PMS.
Maintain BT and corporate account tracking workbooks.
 
Group Coordination
 
Manage group turnover process from Sales Managers.
Coordinate signed contracts, deposits, and group setup in Lightspeed.
Maintain organized group files and tracking systems.
Communicate directly with clients regarding: Rooming lists, Arrival/departure details, Transportation, Catering needs, VIP requests, Billing arrangements
Coordinate catering selections and prepare banquet checks.
Prepare and distribute detailed group resumes and BEOs.
Process final invoices, commissions, Marriott Bonvoy points, and post-event follow-up.
Actualize group pick-up and final production in STS.
 
 
 
Schedule Requirements:
 
Must be available to work Monday through Friday from 8:30 AM to 5:30 PM.
Must have weekend availability as needed based on hotel business demands, events, and group arrivals.
 
Qualifications
 
Previous hotel sales, front office, catering, or hospitality experience preferred.
Marriott brand experience is a plus.
Knowledge of STS, Lightspeed PMS, Cvent, and Microsoft Office preferred.
Strong organizational and multitasking skills.
Excellent verbal and written communication skills.
Ability to work independently and in a team environment.
Detail-oriented with strong follow-up skills.
Professional appearance and customer-focused attitude.
Bilingual (English/Spanish) preferred.
