Supports the Chief Commercial Officer (CCO) for the U.S. and Canada. Performs administrative functions in support of achieving the Commercial Services U.S. and Canada objectives at HQ and in market. Work is generally varied and administrative or project oriented in support of commercial services portfolio. Work involves developing alternatives and determining solutions for assignments, including those that may be unique and non-recurring. Often the Sr. Administrative Assistant will be responsible for interpreting internal policies and procedures and will be seen as a Commercial Services resource to others. Work involves handling confidential and sensitive material.
Sr. Administrative Assistant receives minimal supervision. Instructions are received at the beginning of complex projects and sensitive assignments; resulting work is generally reviewed at completion. Some work may be distributed without review. Sr. Administrative Assistant is responsible for executing based on priorities and establishing procedures for completing responsibilities. Sr. Administrative Assistant is responsible for resolving and determining the urgency level of conflicting priorities.
CANDIDATE PROFILE
Education and Experience
Required
10 or more years administrative experience.
Preferred
Experience supporting a senior level executive.
Knowledge of advanced functions of Microsoft Office (Word, Excel and PowerPoint).
CORE WORK ACTIVITIES
• Manage calendars, schedule meetings, and coordinate travel arrangements for the Chief Commercial Officer (CCO) and senior leadership. Handle incoming calls, respond to inquiries, and provide solutions for routine and complex requests.
• Draft, edit, and prepare correspondence, reports, and presentations on behalf of the CCO and senior executives. Ensure accuracy and professionalism in all communications.
• Organize and support internal and external meetings. Responsibilities include agenda preparation, catering coordination, site planning, and logistics.
• Assemble and distribute commercial reports for senior executives, including variance analysis and budget forecasting. Maintain accuracy and timeliness of financial and operational reporting.
• Process expense reports, accounts payable, payroll, and personnel data using automated systems. Reconcile departmental expense accounts and resolve discrepancies.
• Investigate and resolve complex questions related to policies, procedures, and departmental processes. Gather data from multiple sources and provide informed recommendations.
• Create and maintain spreadsheets, databases, and PowerPoint presentations to support business needs and executive communications.
• Oversee office operations, including supply ordering, equipment maintenance, and workspace organization. Coordinate with facilities and technical teams to resolve issues.
• Support collaboration across U.S. and Canada disciplines and departments by scheduling meetings, sharing documents, and maintaining organizational charts and communication platforms.
• Lead or assist with special projects, onboarding/offboarding associates, office moves, and other administrative tasks as needed.
