The Senior Groups & Events Manager is responsible for handling large/complex enquiries from conversion through to event execution and post event tasks utilizing strong selling, negotiation & organisational skills. Enquiries may include VIP Groups & Events, buyouts, large city wide, sporting events, awards dinners and multi day events.
The Cluster Senior Groups and Events Manager provides sales support at both a cluster and property level.
Job Summary
The Senior Groups & Events Manager coordinate the daily/weekly hotel BEO packs and as well as leading BEO meetings, being the key communication link between the E&G team and operational teams. The Senior Groups & Events Manager will provide help and support to their team through coaching/mentoring, delivering training and leading by example in all areas of role execution driving balance score card results for all properties. They will assist the Cluster Director in energizing and driving the team with closing days, EMEA promotions, demand generation weeks and other sales initiatives.
Education and Experience
- High school diploma or GED; 2 years experience in the event management or related professional area.
OR
- 2-year degree from an accredited university in Hotel and Restaurant Management, Hospitality, Business Administration, or related major; no work experience required.
Core Work Activities
Executing Event Operations
- Ownership for the conversion and management of assigned enquiries
- Support the team conversion of all enquiries through funnel calls and daily communication
- Conducts compelling show rounds to win the business
- Effectively manages bedrooms blocks and meeting space inventory for assigned groups
- Expertise in event planning, food presentation, meeting room set ups, audiovisual and banquet service standards. Cooperate with Banqueting and Kitchen team to develop new F&B concepts and drive customer satisfaction
- Correct use of systems process to ensure brand standards are being upheld - booking integrity, consistency & accuracy
- Sells to a pre-determined event and group strategy
- Works with banqueting/kitchen teams to review and update strategy with a dynamic approach
- Proactively resolicits previous customers and event bookers for future opportunities
- Supports the Cluster Director of Groups & Events by completing weekly/monthly tasks to include but not limited to; catering forecast, funnel call, sales strategy meeting
Sales and Revenue Management
- Delivers a compelling sales experience to drive conversion and repeat business
- Provides appropriate feedback to overcome obstacles to selling, including pricing, inventory availability and event execution
- Effectively up sells products and services throughout the event process.
- Participates in customer site inspections and assists with the sales process when necessary.
- Effectively manages customer budgets to maximize revenue and meet customer needs.
- Accurately forecasts group sleeping rooms and event revenue (catering and audio-visual) for his/her groups.
Managing Profitability
- Manages revenue and profitability associated with events.
- Forecasts group sleeping rooms and event revenue (catering and audio-visual) for his/her groups.
- Reviews billing and payments with clients.
Providing Exceptional Customer Service
- Sets a positive example for guest relations.
- Interacts with guests to obtain feedback on product quality and service levels. Effectively responds to and handles guest problems and complaints.
- Provides excellent customer service. Ensures all associates involved in and event or booking understand expectations and parameters.
- Observes service behaviors of associates and provides feedback to individuals; continuously strives to improve service performance.
- Conducts pre- and post-event meetings as required to review/communicate group needs and feedback.
- Actively solicits feedback from the hotel departments to identify areas for improvement to enhance the Event Planner’s experience.
- Emphasizes guest satisfaction during all departmental meetings and focuses on continuous improvement.
